Terms of Service

1. Acceptance of Terms

By accessing or using BGMediLink (the "Service"), you agree to be bound by these Terms of Service ("Terms"). If you do not agree to these Terms, do not use the Service. These Terms apply to all users, including workspace administrators, faculty, residents, and staff.

2. Description of Service

BGMediLink is a department management platform for hospital teams. It provides tools for duty roster scheduling, team communication, patient census tracking, clinical logbooks, notice boards, classroom scheduling, and AI-assisted queries. The Service is available via web browser and mobile applications (iOS and Android).

3. Accounts & Workspaces

To use BGMediLink, you must create an account and join a workspace using a workspace code or invite link. You are responsible for:

  • •Providing accurate account information
  • •Maintaining the security of your login credentials
  • •All activity that occurs under your account
  • •Notifying us immediately of any unauthorized use

Workspace administrators are responsible for managing member access, approving new members, and configuring workspace settings.

4. Acceptable Use

You agree to use the Service only for its intended purpose — managing hospital department workflows. You may not:

  • •Use the Service for any unlawful purpose
  • •Attempt to access data from workspaces you are not authorized to access
  • •Interfere with or disrupt the Service or its infrastructure
  • •Reverse engineer, decompile, or disassemble any part of the Service
  • •Share workspace access codes with unauthorized individuals

5. Patient Data & Compliance

BGMediLink is a department management tool, not a certified Electronic Health Record (EHR) system. While the Service allows tracking of patient census information for operational purposes, it is not intended to serve as the official medical record.

Users and workspace administrators are responsible for:

  • •Ensuring compliance with their institution's data handling policies
  • •Complying with applicable healthcare data regulations (e.g., HIPAA, GDPR, local laws)
  • •Obtaining necessary consents for data entered into the Service
  • •Not entering sensitive patient data beyond what is necessary for department operations

6. AI Assistant

The AI assistant feature provides general information and should not be used as a substitute for professional medical judgment. AI responses may be inaccurate or incomplete. Do not enter protected health information (PHI) into the AI chat. The AI feature is provided "as is" without warranty of accuracy.

7. Intellectual Property

The Service, including its design, features, code, and content, is owned by BGMediLink and protected by intellectual property laws. You retain ownership of the content you create within the Service (messages, notes, logbook entries, etc.), but grant us a license to store, display, and transmit that content as necessary to provide the Service.

8. Service Availability

We strive to maintain high availability but do not guarantee uninterrupted access to the Service. We may perform maintenance, updates, or experience outages. We are not liable for any loss or damage resulting from Service unavailability.

9. Limitation of Liability

To the fullest extent permitted by law, BGMediLink and its team shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of the Service. The Service is provided "as is" and "as available" without warranties of any kind, either express or implied.

10. Termination

We may suspend or terminate your access to the Service at any time for violation of these Terms or for any other reason at our discretion. Workspace administrators may remove members from their workspace. Upon termination, your right to use the Service ceases immediately.

11. Changes to Terms

We may modify these Terms at any time. We will notify users of material changes by posting the updated Terms on this page with a revised "Last updated" date. Continued use of the Service after changes constitutes acceptance of the updated Terms.
